Approaching Asset Management
Maintaining accurate, up-to-date records of assets is important to any organization. It is a central pillar that empowers planning, encourages transparency, and optimizes asset utilization. When we met with the Ministry of Higher Education, Sri Lanka, they had a very unique set of needs that existing ready-made products would not cater to. Being a government organization, they needed to follow many regulations and circulars, and transparency needed to be as high as possible. The amount of assets they had to track was huge, spread across many institutions and centres across the country.
They were facing more and more challenges with manual asset management systems, and understood the need to have a digital, real-time solution with automated reporting and tracking. That is where we came in. After discussing their requirements and analyzing all their needs, we built Asset-X: an asset management system built for highly volatile requirements.
Expectations
What does a client expect from an asset management system? In our case, there were the usual universally sought features, as well as unique features that only an organization of this calibre might need. Asset-X boasts a wide range of features that can be customized to each client’s unique requirements and and tuned to any organizational culture.
Automated reporting tools and letter generation:
A crucial feature of any asset management solution, Asset-X allows the user to define report templates and schedule automatic generation of reports and letters. The system can be configured to automatically email these reports to relevant parties or to store them for future reference. Reports can be generated on a schedule, based on trigger conditions, or manually whenever they are needed.
Auditing features:
Any large organization will find Asset-X’ auditing features to be a large time-saver when it comes down to audits. There are automated tools and integrations to import, export, and manipulate data just the way you want, making audits a breeze.
Conforming to government circulars:
Our client had to not only follow government circulars, but also to change the asset management style everytime these circulars change. The result is a rock-solid but easily adjustable system architecture.
Tracking features:
An asset has a life-cycle, usually broken down into stages or states. A mark of good asset management practice is to be able to easily track an asset through its life cycle. Using life-cycle hooks, Asset-X can trigger actions, such as generating reports or alerts, when an asset moves through stages in its life cycle.
Seamlessly scalable architecture:
One thing we have learnt while dealing with clients is that requirements always change. In a domain like asset management this holds specially true. That is why Asset-X has a modular architecture inspired by microservice architectures, so we can scale the system seamlessly, with zero downtime and zero disruption to current users.
Accessibility:
No matter how impressive the backend is, it is the frontend that users interact with directly. Asset-X has an interactive interface easily accessible by mobile phones and tablets. The UI design itself was created with heavy emphasis on UI/UX principles. When dealing with complex parts of the asset management process, the user should not be burdened with limitations in the UI. That is why Asset-X’ user interface just works.
Integration with existing systems:
When an organization opts to use an asset management solution, it shows that they are not new to dealing with technology. Most of them already have systems in place for other parts of their organization. Asset-X provides a RESTful API and other exporting/importing features so that asset management can easily blend in with other systems. Whether it is an ERP, order processing system, or an analytics dashboard, Asset-X will work with it.
Automation:
An important thing we noticed during our discussions with the Ministry of Higher Education is that some things need to be done over and over.
